How the project workflow works

This page shows the typical process for uploading project tasks and project time from UpSheets to Xero Projects. You only need the steps that relate to the transaction type you want to upload. You can upload tasks, project time, or both in the same workflow. If you are asking “how do I upload time to projects?” or “how do I load tasks and time to projects?”, this is the workflow to follow.

Common project upload questions

  • Can I import new projects into Xero? No. Projects must already exist in Xero before you upload. UpSheets can create or update tasks and create time entries on those existing projects, but it cannot create new Xero Projects.
  • Can I upload time to projects? Yes. Use the Project Time format, validate, then upload to Xero Projects.
  • Can I upload tasks to projects? Yes. You can create new tasks or update existing tasks as part of the same workflow.
  • Can I upload tasks and time together? Yes. UpSheets can upload both in one project workflow when your file includes both transaction types.

Process Flow

You can complete the project import process from UpSheets. UpSheets validates your data against the projects, tasks and users already in Xero before upload.

Connect to Xero

Select Organisations from the menu and connect the Xero organisation you want to use.See Connecting to Xero.

Prepare the file

Make sure your file matches the project transaction type you want to upload.See Projects (Global).

Import the file

Select Import Files from the menu, choose your file, select the required options, then click Import.

Validate the data

Match the required columns to your data, then click Validate. Large files are processed in the background. You can retry from the progress screen if processing stops.

Review validation

Check the validation results. If there are errors, you can edit the data or create mappings to correct any issues.

Upload to Xero

Upload the validated project data to Xero. If your file includes tasks and project time, UpSheets uploads them together in the same process. Large uploads also run in the background. If the upload stops, retry from the progress screen — lines already sent to Xero are kept.
