Can you upload the same file more than once?
Yes. UpSheets does not treat an imported file as single-use, so you can upload the same file again if you need to correct something or start over. This is different from uploading multiple files at once on the Import Files screen. If you want to import several separate files together, see File Types. Two ways to upload from one file
- Follow the normal payroll workflow: The same import can be used to upload timesheets first and then upload payslips later, depending on the transaction types in the file. See Payroll Process.
- Fix and upload again: If you need to correct data after uploading, either update the import in UpSheets or prepare a corrected file, then validate again and upload again.
What happens in Xero when you upload again
Timesheets
When you upload the same timesheet data again, matching Xero timesheets are overwritten by default when they are still in Draft. If an approved timesheet already exists, the file will not upload unless your region and settings allow approved timesheets to be overwritten. Processed or rejected timesheets still need to be handled in Xero before you can upload again. See Overwrite Approved Timesheets.Payslips
Existing payslips do not override your additional payslip upload. Instead, your new upload controls what happens next. This is especially important when a payslip upload happens after timesheets. Xero may already have calculated leave accruals such as Annual Leave or Long Service Leave from approved timesheets, and a later payslip upload that includes leave accrual lines can replace those accruals depending on your overwrite setting. See Overwriting Existing Payslips. In Settings under Payslip Preferences, the Overwrite existing Payslips setting controls this behaviour:- Enabled: The new upload overwrites existing payslip lines of the same type.
- Disabled: The new upload replaces only the pay item types included in your file, and other existing payslip lines are kept.
