Use tracking categories on timesheets

To use Tracking Codes in UpSheets, enable them in Xero first. See Tracking Categories for how to turn them on and refresh your organisation connection.

Why a tracking code is required

When tracking categories are enabled in Xero for timesheets, Xero requires a tracking code on every timesheet line. UpSheets enforces the same rule so the upload passes Xero validation.
  • If a line has no tracking code (and you have not selected a default), validation fails.
  • The Tracking Code value (for example Northern Region or Eastside) must match a valid option in Xero. You can map values when your file uses different labels.
Tracking codes are not required when tracking categories are not enabled in Xero for that organisation. If tracking is enabled in Xero but codes do not appear in UpSheets, refresh the organisation connection. Visiting Home does not reload tracking codes every time. See Tracking Categories.

Options when importing

When tracking is enabled, supply a tracking code in one of these ways:
  1. Include the Tracking Codes in your file – Add a column containing Tracking Codes (recommended column name: tracking_code). Every timesheet line must have a valid value in this column.
  2. Select a default Tracking Code – Applies your chosen Tracking Code to all records in the file. You do not need a Tracking Code column in the file.
Each timesheet line has one tracking code value from one column (or the default). If your source file splits information across several columns—such as location and shift type in separate columns—prepare a single column whose values match Xero before you import. See One Column Per Import Field.
In Xero, tracking codes only work with timesheets and are not available for leave or payslips.
