Why UpSheets shows a different week

You cannot choose a pay period date range in UpSheets. For Australia and New Zealand, payslip lines upload to the draft pay run that already exists in Xero. Payslip rows do not need a date, so dates in your file (if you have any) do not select the week. If you are preparing weekly payroll for 24 August to 30 August, but UpSheets shows 31 August to 6 September, the draft pay run in Xero is for the later week. That is the period your payslips will upload to. This is common when last week’s pay run is already posted, when Xero has already created the next scheduled pay run, or when you are running payroll after the week has ended.
United Kingdom organisations cannot upload payslips through UpSheets. This page applies to Australia and New Zealand payslip imports.

How to use the correct period

1

Check the draft pay run in Xero

Open Payroll, then Pay Runs, in Xero. Note the start and end dates of the draft pay run. Those dates are what UpSheets will use.
2

Create the pay run for the week you want

If the draft is for the wrong week:
  • If that draft has no payslip data you need, delete it in Xero, then create the scheduled pay run for the week you are preparing (when Xero still offers that period).
  • If Xero has already moved on to the next week, or the earlier period is already posted, create an unscheduled pay run that covers the week you want, and include each employee so their payslip exists.
3

Revalidate in UpSheets

Return to UpSheets and revalidate your file. UpSheets will now target the new draft pay run. Confirm the period dates before you upload.
Create the correct draft pay run in Xero before you revalidate. If Auto create Pay Runs is on and no draft exists, validation may create the next scheduled period again — which can be the week you are not preparing. See Auto Create Pay Runs.

Timesheets and leave still use dates

Timesheets and leave use the date on each row. Payslips do not: they always go to the open draft pay run. The only exception is an optional date on Australian super lines, which is the expected payment date, not the pay period. If your file mixes timesheets and payslips, timesheet rows follow the dates in the file, and payslip rows still follow the draft pay run.
