Accepted payment methods

UpSheets accepts the following payment methods for subscriptions billed through UpSheets:
  • Visa
  • Mastercard
  • American Express (Amex)
  • JCB
  • China UnionPay
  • Link
  • Apple Pay
  • Google Pay

Base fee + usage charges

UpSheets is charged based on a base fee plus monthly usage. We use this system because it:
  • is simple and transparent
  • gives you access to a range of features and you only pay for what you use
  • doesn’t penalise users with many part-time employees
  • removes the need to distinguish between users on different pay cycles (weekly, fortnightly or monthly)
  • reduces the total cost the more the system is used.

What does UpSheets cost?

Sales tax (GST and VAT)

UpSheets collects New Zealand GST only on subscription and usage charges for customers billed in New Zealand (NZD). GST is calculated on your invoice where it applies. UpSheets does not collect Australian GST on AUD plans or UK VAT on GBP plans. Prices for Australia and the United Kingdom are the amounts billed; those indirect taxes are not added by UpSheets. You can still add a Tax ID and business name in SettingsProfile so they appear on your invoices; that is for your records and does not change whether UpSheets charges GST or VAT. All uploaded lines are charged equally regardless of type (timesheet, leave or payslip).
  • updates to uploaded lines are not charged again if they have the same employee/period/earnings/tracking (e.g. if you change the hours on a timesheet line several times, you will not be charged for subsequent uploads)
  • lines in error are not uploaded and so are not charged
  • there is no charge for validating, approving timesheets or creating pay runs
  • UpSheets is always free to use with Xero Demo Organisations, so you can test as much as you like

When will I be charged?

You will need to enter your credit card details when you choose a plan. Your UpSheets account will accrue charges each time you upload files. After you subscribe, your card is charged at the end of each monthly billing period, on the monthly anniversary of when you started your subscription (when you chose a plan and added a payment method). For example, if you subscribe on 20 March, your first invoice is around 20 April for usage between those dates, plus the base fee for that period. This billing date is based on your subscription start date, not when your free trial ended. If you subscribe before the trial ends (for example, after reaching the trial upload limit) or after it expires, your billing cycle follows the date you subscribed. If you do not upload any data in a monthly period, you will only be charged the base fee.

Free trial periods

Occasionally, we may offer free trial periods. If you qualify for a free trial, you will not be charged for using UpSheets during that period. Length and expiry: A standard free trial runs for 30 days from when your UpSheets account is created. When those 30 days end, the trial expires automatically. Your card is not charged simply because the trial ended. If you have not started a paid subscription, you do not need to cancel anything or take any action when the trial ends. Access that depended on the trial will stop; you are not billed. If you have chosen a plan and added a payment method, normal subscription billing applies from that point. Free trials are per Xero organisation, not per user. If another account is created and the same organisation added, a free trial will not be available to use for that organisation. You may upload data to multiple organisations during the original free trial period at no cost, so long as the organisations have not been connected to UpSheets before. During your free trial, uploads are limited to 2,500 lines in total across all upload types (timesheets, leave, payslips, and projects). Once you reach that limit, you will need to subscribe to continue uploading. Demo Xero organisations are not subject to this limit. The trial period begins when the user account is created; adding more Xero organisations does not extend the trial, even if they have not been connected before.

Multiple users

If you grant additional users access to your Xero organisation, their usage will be charged to your account. You will be able to see their activity at any time and can grant/revoke access at any time. If multiple users update the same timesheet line, only the first upload is charged, even if a different user made it.

Non profits

Get 25% off UpSheets for your non-profit or charity. If you meet Xero’s criteria, we will give you the same discount. To claim your discount, contact us and attach a copy of your Xero invoice showing your discount. Refunds are not given for past invoices; the discount applies from the start of your next billing period after we confirm your status.

Credit cards

No credit card is required to try UpSheets on a free trial, but a credit card is required to continue using it after any such period. UpSheets uses a third-party payment provider to process credit cards. UpSheets does not have visibility of, nor store any sensitive credit card information.
