When you need an unscheduled pay run

You can use UpSheets to load data for an Unscheduled Pay Run, but the pay run must be created before you validate (or revalidate) your file. If you do not create the Unscheduled Pay Run in advance, or if you do not select each employee in the pay run in Xero so their payslip is created, you may see a ‘Date not within current Pay Period’ error.
Use an unscheduled pay run when the draft scheduled pay run in Xero is for a different period to the payroll you are preparing. Payslip rows do not use a date to choose the period, so UpSheets will upload to whichever draft exists. See Wrong Pay Period.
Unscheduled pay runs are for payslips. Xero does not support timesheets on processed pay periods, so creating an unscheduled pay run does not let you upload timesheets for that period.

Uploading Payslips to Unscheduled Pay Runs

Create pay run in Xero

In Xero, create an Unscheduled Pay Run that covers the period you want to upload data for.

Add employees (optional)

If you want to load payslips, add the employee to the Unscheduled Pay Run: open the pay run and click the Included flag.

Import and validate

Import and validate your file (or revalidate if you have already imported it).
Validation should then pass, because UpSheets can see a pay run is available for the employees.
