Why you may see a warning
When you upload payslips to Xero, UpSheets checks Xero live for draft timesheets for the same employees and pay period. If any exist, you will see a warning before the upload continues.
Payslip data is written to the draft pay run in Xero. If you upload payslips and later approve draft timesheets for the same period, Xero may recalculate payslip earnings from those timesheets. Changes you made only on the timesheet (or only on the payslip) can be lost or overwritten.
What to do
- Hover the employee count in the warning to review affected employees.
- In Xero, either approve or delete draft timesheets for that period before uploading payslips, or upload payslips only when you are satisfied that timesheet data will not change afterwards.
- Use Check again after you change timesheets in Xero if you want UpSheets to query Xero again.
- Choose Upload to continue anyway if you accept the risk.
If the check could not run
Sometimes Xero does not return timesheet data (for example due to a temporary API error). UpSheets will still let you upload, but will warn that we could not confirm draft timesheets. The same risk applies: approving timesheets after uploading payslips may cause your changes to be lost.
Upload timesheets first and approve them when the data is final, then upload payslips for adjustments that are not driven by approved timesheets.
