How leave works in UpSheets

UpSheets helps you import and upload leave data to Xero Payroll when your leave information starts in a file or another system. This can be useful when you are not relying on employees to enter leave directly in Xero. In Xero Payroll, employees can submit leave requests and managers can review and approve them in supported payroll regions. Xero also calculates leave and statutory payments in supported regions. UpSheets fits into that process by validating leave data before upload and applying the rules described in this section.

What you can control

  • Duplicate handling: Keep leave rows separate or sum duplicate totals.
  • Overlap warnings: Be alerted when leave dates overlap existing leave in Xero or other rows in the file.
  • Hours calculation: Use hours from the file, or have UpSheets calculate them from employee setup in Xero.
  • Date defaults: Default the end date and description for simple leave imports.
  • Pay period allocation: Split leave hours across multiple pay periods when a leave request spans more than one period.

Typical workflow

Import leave data

Import a file that includes leave rows, or import from a supported data source.

Choose leave settings

Select any relevant settings, such as duplicate handling or automatic leave hour calculation.

Validate against Xero

UpSheets checks employee matching, leave types, dates, and any required values before upload.

Upload leave requests

Upload the validated leave data to Xero Payroll.
