Overview

Copy Test Data copies active employees from a source organisation into a Xero demo organisation so you can test payroll workflows without copying their contact, tax, banking, or date-of-birth data. The copy includes employees, pay templates, and supporting pay items. By default, earnings, leave, deductions, and reimbursements from the pay template are included; you can turn each type off before copying. Addresses, tax file numbers, emails, and dates of birth are replaced with placeholders. First and last names are retained so you can identify the test employees.

Requirements

This feature is available when:
  • Your UpSheets account has an active Australian (AU) payroll connection
  • You have at least one AU source organisation connected
  • You have at least one AU Xero demo organisation connected
  • Payroll setup is complete in the demo organisation, including at least one pay calendar
  • You are on an active trial or subscription if the source is a live organisation
The source organisation can be a live AU organisation or another demo organisation. The target must be a Xero demo company. Copying from a live organisation requires an active trial or subscription. If your trial has expired, you can still copy between demo organisations.

Accessing Copy Test Data

  1. Open the organisation menu.
  2. Open Employees.
  3. Select Copy Test Data.

What is copied

What is not copied

  • Superannuation pay template lines (super lines) or super memberships from the source employee
  • Leave balances
  • Bank accounts
  • Real addresses, tax file numbers, emails, or dates of birth
Placeholders used instead of personal data include:
  • Addresses from a fixed Australian test address list
  • Tax file number 999999531
  • Emails such as firstname.lastname@noemail.com
  • Date of birth 1990-01-01
Employee first and last names are kept so you can recognise test people. Employees that already exist in the demo organisation (same first and last name) are listed as Name (already exists) and cannot be selected.

How to copy employees

Choose organisations

Select a Source organisation and a Target demo organisation, then click Retrieve employees.

Select employees

Choose the active employees to copy. Names are listed in alphabetical order. Employees that already exist in the demo organisation are shown as Name (already exists) and cannot be included. Use the checkbox next to Name to check or uncheck every copyable employee. Open Pay Template Items and leave all types selected to copy earnings, leave, deductions, and reimbursements, or turn off types you do not need. You can copy up to 50 employees at a time.

Start the copy

Click Copy to demo. The job runs in the background. The employee list is replaced by a status message. The organisation selection stays on the page. Click Start again to reload and choose another copy.
When the copy completes, a result message appears on the page. Click Start again to reload and choose another copy. Reloading or leaving the page also clears a completed result. The message shows how many employees were created or failed, and whether pay items or leave types were created.

After the copy

  • Check the new employees in the demo organisation in Xero Payroll.
  • Fix any failed employees listed in the result, then run Copy Test Data again for those people if needed.
Create matching pay calendar names in the demo organisation before copying when you need the same calendar structure as the source.
