Supported file types

UpSheets accepts Excel (.xlsx) and CSV files. You can upload an Excel file directly, or save from Excel or Google Sheets as CSV and import.

Upload file

On the Import page, drop your .xlsx file or click to browse.

Select sheet

If the file has multiple sheets with data, choose which sheet to import. If only one sheet has data, it is selected automatically.

Spreadsheet formulas

Cells that contain a spreadsheet formula import as the value the formula works out, not as the formula text. A cell holding =SUM(C2:C9) imports as its total, and a formula that refers to another sheet in the same workbook works the same way. This means you can build a sheet that summarises or splits your data with formulas, then import that sheet directly.
UpSheets reads the result your spreadsheet saved with the file, so save the file after you change it and before you import. If a formula has no saved result, the cell may import as blank — open the file in Excel or Google Sheets, save it, then import again.
Rows where every formula works out to blank are ignored, so a sheet with formulas filled down past the end of your data will not add empty rows to your import.

Saving from Microsoft Excel

For CSV format:

Save As

Choose File > Save As > Format: Comma Separated Values (.csv).

Enter a filename and save the file.

Saving from Google Sheets

Download

Choose File > Download as > Comma-separated values (.csv, current sheet).

File ready

The file downloads (named after the file or sheet, ending in .csv).
The files can then be imported and uploaded to Xero by UpSheets.

Multiple files

Multiple files can be uploaded at once so long as they are all valid and in the same format (identical header fields and in the same order). Use Shift or Ctrl (or Cmd on Mac) to select multiple files.

Tips

  • All files must have First Name & Last Name (or Full Name), Date and Hours columns as these are required to match employees in Xero and create timesheets.
  • Files are limited to 100 columns. If you see an error about column count, see Column Limit.
  • A header row is not required, but if it is not in the file, the ‘File contains header row?’ box should be unchecked (and vice versa).
  • Only timesheets and leave from the next pay period, or a period with a Draft Pay Run can be uploaded.
  • Existing timesheets in Xero can only be updated if in a Draft status.
  • Approved/Processed timesheets must be reverted to Draft in order to upload (NZ/UK users may overwrite these by changing their settings).

  • All Leave is uploaded as Approved.
