How automatic break deduction works
Enabling this feature can ensure compliance with workplace regulations and eliminate the need to manually adjust hours for breaks. Break deductions are:- Applied during validation
- Cumulative (multiple thresholds can be set)
- Configurable per user (applies to all your organisations)
- Not applied to Smart Formulas, LEAVE, or payslips

Setting Up Break Rules
Accessing Settings

Open Settings
Navigate to Settings from the main menu.

Find section
Scroll to the Auto Break Deduction section.
Adding Break Rules
Break rules define when breaks should be deducted from worked hours. To add a rule:1
Add rule
Click the + Add Rule button.

Enter threshold
Enter the threshold hours in the first field.

Enter duration
Enter the break duration (in minutes) in the second field.

Add more (optional)
Click + Add Rule again to add additional rules.
- Work 4+ hours → 30 minute break deducted
- Work 10+ hours (4 + 6 more) → Additional 45 minutes deducted (75 min total)
Understanding Cumulative Thresholds
Break rules are cumulative:-
First rule: Absolute threshold
- “After 4 hours” means at 4 hours worked

Subsequent rules: Added to previous threshold
- “After 6 hours more” means 4 + 6 = 10 hours worked
Removing Rules
To remove a break rule, click the × button on the right side of the rule row.Deduction Modes
Choose how breaks are applied to your timesheets:Per Shift (Default)
Deducts breaks from each individual timesheet line. Best for:- Single-entry timesheets
- Different break rules per shift
- Simple timesheet structures
Per Day
Sums all hours for an employee per day, then applies break deduction to the total. The deduction is distributed across timesheet lines, starting from the last line. Best for:- Multiple shifts per day
- Split shift scenarios
- Total daily hour calculations
