Auto Create Pay Runs

When you validate a payslip file, each line must match an existing draft pay run and payslip in Xero for that employee and pay period. If the pay run has not been created yet, validation shows No Payslip found for Employee/Period. Auto create Pay Runs creates the required scheduled pay runs in Xero for you at the start of validation, then reloads pay runs and payslips before checking your file.
This setting is available for Australia and New Zealand organisations. It is not shown for United Kingdom-only accounts because payslip upload is not available in the UK.

Turn the setting on

1

Open payslip settings

Open Settings from the top-right menu, then select the Payslips tab.
2

Enable Auto create Pay Runs

Turn on Auto create Pay Runs.
3

Validate your file

Import or open your payslip file and run validation (or revalidate). Missing scheduled pay runs for employees on the file are created in Xero before payslip matching runs.

Requirements

  • Your Xero organisation must allow you to create pay runs (your organisation admin can control this under organisation user access).
  • The setting applies to scheduled pay runs for the employee’s pay calendar period. Unscheduled pay runs must still be created in Xero before you validate.

If the setting is off

When Auto create Pay Runs is off and validation cannot find a payslip, you will see the usual line error and a page-level message on the upload screen explaining the setting. You can create the pay run manually in Xero (or use Add Pay Runs after uploading timesheets when that option is available), then revalidate.
Auto create uses the next scheduled period for the employee’s pay calendar. If that is a week later than the payroll you are preparing, create the correct pay run in Xero first (often an unscheduled pay run), then revalidate. See Wrong Pay Period.
