When to use this

Use a manual allowance when the allowance should be available to add after validation instead of being generated automatically. For example, a one-off allowance may depend on information that is not present in the imported timesheet file.

Before You Start

Open or create the Smart Formula from Smart Formulas > Configure. Manual allowance pay items must be available for the employee when the formula is assigned.

Example Setup

Manual allowance rules do not need a day or period condition because they are selected manually after validation.

Worked Example

After importing and validating timesheets:
  1. Find the employee and date that needs the allowance.
  2. Click Add Line.
  3. Select the manual allowance.
  4. Enter the number of units.
  5. Add the line and review it before uploading to Xero.

Test the Example

Before using the allowance in a live import:
  1. Publish and assign the formula to a test employee.
  2. Import a small test file.
  3. Validate the file.
  4. Confirm the manual allowance appears in the Add Line options.
  5. Add a test allowance line and check the generated output.
