When to use this

Use a week allowance when an allowance should be added once for the week or assessment period after a threshold is met. For example, add an allowance once when total weekly hours are greater than 40.

Before You Start

Open or create the Smart Formula from Smart Formulas > Configure. Check the organisation’s Start Day / Period in Smart Formula Settings, because this controls the weekly calculation window.

Example Setup

For week allowances, the day selection is not the main control. The assessment period and total hours determine whether the allowance applies. The allowance is added on the last timesheet in the UpSheets assessment period, not the first day of the period and not the Xero pay period. A weekly period in UpSheets applies the allowance once per week even if the employee is paid fortnightly in Xero. To set a different quantity, or a different Rate per unit, for one employee without changing the published formula, use Automatic Allowances on Smart Formulas > Assign after assignment. Multiples stay as defined on the published formula. You can also promote a manual allowance to apply once per period from that modal. The same assessment-period cadence applies to those promoted lines.

Test the Example

Before publishing:
  1. Open Smart Formulas > Simulate.
  2. Add enough shifts to test totals below and above the weekly threshold.
  3. Click Run Simulation.
  4. Confirm the allowance appears once when the threshold is met, not once per day or shift.
